What this notice covers
This notice explains how we collect, use, store, and protect personal data submitted through our job application form. It applies to all applicants for roles at Tera Mira.
What data we collect
When you apply for a role, we collect:
- Your name and email address
- Your LinkedIn profile or personal website URL
- Your current role and institution
- Your eligibility to work in the UK
- A description of your relevant experience
- Your reasons for applying to Tera Mira
- How you heard about the role
- Your CV or resume (uploaded document)
Why we collect it and our lawful basis
We process your data to assess your suitability for the role you have applied for. Our lawful basis is legitimate interests under Article 6(1)(f) of the UK GDPR — we have a legitimate interest in evaluating candidates for open positions, and this processing is necessary to pursue that interest.
Who sees your data
Your application data is accessible only to Tera Mira's two co-founders: Lucy Dain-Williams (CTO) and Jeanne Begon-Lours (CEO). We do not share your data with any third parties for marketing or other purposes.
Where your data is stored
Applications are processed and stored using the following services:
- Netlify (Netlify, Inc.) — receives form submissions including CV file uploads. Netlify is based in the US and processes data under Standard Contractual Clauses.
- Airtable (Formagrid, Inc.) — stores structured application data as a candidate database. Airtable is based in the US and processes data under Standard Contractual Clauses.
Both providers are GDPR-compliant and have appropriate data processing agreements in place.
How long we keep your data
If your application is unsuccessful, we will delete your personal data within 6 months of the role closing or your application being declined, whichever comes first. If you are offered and accept a role, your data will be retained as part of your employment record under a separate retention policy.
You may request deletion of your data at any time before this period ends — see Your Rights below.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify any inaccurate data
- Erase your data (the "right to be forgotten")
- Object to processing based on legitimate interests
- Portability — receive your data in a machine-readable format
- Restrict processing in certain circumstances

Complaints
If you believe we have not handled your data correctly, you have the right to lodge a complaint with the ICO at ico.org.uk/concerns or by calling 0303 123 1113.
Changes to this notice
We may update this notice from time to time. The date at the top of this page reflects when it was last revised. For significant changes, we will notify applicants with active submissions by email.
